Data Access

NiCE CXone provides several ways to control access to your platform data. This allows you to guard the security of your data by limiting access to only users who need the access.

The following table describes and compares the different methods you can use to control access to data.

Divisions

Divisions provide tenant-level segmentation of data to align with high-level organizational structure within your company, such as lines of business.

Users can access data within the division they're assigned to. They can also access data from any child divisions of their assigned division. Access to certain data in child divisions requires permissions.

You can learn about how divisions control data access and which entities and data are affected by divisions.

Roles and permissions

Roles and permissions provide granular control over access to data.

Permissions are assigned to roles, which are assigned to employee profiles. Permissions grant access to applications, to data, and to certain actions that can be performed within an application.

You can also assign ACD data access restrictions to roles. This allows you to restrict access to data by team, campaign, or both.

Views

Views restrict user access to specific types of data such as roles, interactionClosed The full conversation with an agent through a channel. For example, an interaction can be a voice call, email, chat, or social media conversation. data including call recordings, and user data. When data is protected with a view, only users assigned to the view can access that data.

When your NiCE CXone system is configured for divisions and data is protected by views, the restrictions provided by the view takes precedence over the division.

Access Keys

Allow you to restrict user access to specific services. By requiring an access key, only users with the access key for that service can use it.

The following table describes entities that you can use to organize employees within your NiCE CXone system, along with the ways you can control access to each entity's data.

Entity Details
Teams

Teams are an organizational unit used for reporting.

You can control access to team data with: 

  • Divisions
  • Views
  • Omnichannel Routing (ACD) data access restrictions assigned to roles
Groups

Groups are collections of users that you define in ways that make sense for your company. Their only purpose is to organize users.

Groups are only visible within Admin when looking at the Groups page or at individual employee profiles.

Currently, you cannot control access to group data.

Hierarchies

Hierarchies are visual representations of your company and how NiCE CXone teams fit into it.

You can create views based on hierarchies, but hierarchies themselves are not controlled by views or other data access methods. Hierarchies are only a tool for visualizing your company's organization.

Scheduling units

Scheduling units group employees with common scheduling requirements, such as days off.

Currently, you cannot control access to scheduling unit data.
