Document Manager
The Document Manager application provides a centralized interface for managing document collections (corpora) used in analytics and AI model training. With Document Manager, authorized users can view, rename, and delete collections, ensuring that only relevant and up-to-date documents are available for analytics processing.
Only users with an IA Advance Premium or IA Advance license can access the application. To access the application, enable the permission under Permissions.

Simultaneous Access: Multiple users can access and manage the same document at the same time.

Select Collections

Select one or multiple collections using checkboxes for individual or bulk actions.

Rename Collection

Rename any collection you have access to.

Initiate rename from the context menu; confirm the new name in the popup dialog.

Delete Collection(s)

Delete a single collection using the context menu.

All deletions require confirmation and are audited.

Delete multiple collections at once by selecting them and using the bulk delete option.

Switch Views

Toggle between grid and card views for easier browsing.

Access Collection Details

View status indicators (Active, Success, Error, Expired) for each collection.

See who created or last modified each collection and when.
Viewing Document Collections
This Available Collections grid lists all available document collections configured for your tenant. The header displays the total number of collections available. To switch between Grid View and Card View, use the view toggle icons at the top of the page.
Each collection displays key information, including:

| Collection Name | The unique name assigned to the document collection. This helps users identify and search for specific collections. |

Total Interactions |
The number of individual documents, transcripts, or records included in the collection. |

Created By |
The name or user ID of the person who originally created the collection. |

Creation Date |
The date and time when the collection was first created. |
|
Modified By |
The name or user ID of the person who last modified the collection (for example, by renaming it). |

Last Modified Date |
The date and time when the collection was last updated or changed. |

Status (Active, Success, Error, Expired) |
The current state of the collection. Possible values:

Filtering and Searching Collections

Use the Search Bar at the top to find collections by name or other criteria.

Click Add Criteria to filter collections by any available column (e.g., Created By, Status, Date).

To filter by date, select the desired date range (up to the last 30 days).

To select a single collection, click the checkbox next to its name.

To select multiple collections for bulk actions, check the boxes for each desired collection.

To select all collections on the current page, use the checkbox in the column header.
Renaming a Collection

Hover over the collection you want to rename.

Click the three-dot context menu (⋮) next to the collection.

Select Rename.

In the popup window, enter the new name for the collection.

Click Save to confirm. The collection name will update immediately.

Deleting Collections
Deleting a Single Collection

Hover over the collection you want to delete.

Click the three-dot context menu (⋮).
-
Select Delete.
-
In the confirmation popup, review the message and click Delete to confirm.

Deleted collections are removed from the Document Manager and cannot be recovered.

Select the collections you want to delete using the checkboxes.

Click the three-dot context menu at the top of the grid.

Select Delete.

Understanding Collection Status
-
Active: The collection is available for use.

Success: The collection was processed or uploaded successfully.

Error: The collection failed to process or upload.
-
Expired: The collection is no longer valid or has passed its expiration date. Expired collections remain visible until deleted by a user.
